Privacy Policy

CollegeOS (the "Service") is operated by Chortle Labs("Chortle Labs", "we", "us", or "our"). This Privacy Policy explains what information we collect, how we use it, and the choices available to students, parents, and other users of the Service.

1. Information We Collect

We collect information you provide directly and information generated through your use of the Service:

  • Account information: name, email, password (hashed) or third-party sign-in token, and account type (student or parent).
  • Academic profile: high school information, GPA, SAT/ACT and other test scores, intended majors, location, demographic context you choose to share, and goals.
  • Activities and essays: activity descriptions, awards, leadership, and essay drafts you create or upload.
  • Resume information: data used to generate your Smart Resume, including imported and edited content.
  • College and scholarship data: shortlists, comparisons, pathways, deadlines, scholarship interests, and submission status.
  • Parent account information: name, email, relationship to student(s), and the students linked to the parent account.
  • Subscription and billing information: plan tier, status, and limited transaction metadata. Payment card details are collected and processed by our payment provider; we do not store full card numbers.
  • Calendar integration data: tokens and minimal metadata needed to sync deadlines to Google Calendar when you connect it.
  • Usage data: device, browser, IP-derived region, page views, feature usage, and error logs to operate and improve the Service.

2. How We Use Information

  • Generate college recommendations, admission probability estimates, pathways, and strategy reports.
  • Generate and refine Smart Resume content, essay feedback, and activity summaries.
  • Track application deadlines, scholarships, and progress; sync to Google Calendar where enabled.
  • Provide parent-student collaboration features and shared progress views.
  • Operate, secure, monitor, debug, and improve the Service.
  • Personalize your experience and surface relevant content.
  • Process subscription billing, renewals, refunds, and customer support.
  • Communicate service updates, security notices, and (with your preferences) reminders and product updates.

3. AI Processing Disclosure

Information you provide — including profile data, activities, essays, resume content, college lists, and scholarship details — may be processed by artificial intelligence systems, including third-party AI providers, in order to generate recommendations, admission probability estimates, pathways, strategy reports, summaries, resume content, and other educational guidance.

AI-generated content is informational and may contain inaccuracies. You should independently verify important information (such as deadlines, requirements, and official policies) directly with the relevant institutions before acting on it.

4. Third-Party Services

We rely on a small set of service providers to deliver the Service. These are the parties that may process your information, and why:

  • Supabase (via Lovable Cloud) — database, authentication, and file storage.
  • Cloudflare — application hosting and delivery.
  • Resend — transactional email (invites, weekly deadline digests). Digest emails include open and link-click tracking, used solely so we can reach out if a deadline-critical email goes unread.
  • Google — optional Google sign-in and optional Google Calendar deadline sync (you connect these explicitly).
  • AI providers (Google Gemini, Perplexity) — generating recommendations, matches, and guidance from your profile data (see Section 3).
  • Google Places and OpenAlex — public location and academic-research data used to enrich college information.
  • Stripe — subscription billing, when billing is enabled (not active during the beta).

We do not use third-party advertising or marketing analytics services, and we do not sell personal information. The only usage measurement is first-party: we record basic in-app events (like page-section visits and checklist activity) in our own database to keep the deadline safety net working and improve the product; these events are never shared with third parties.

Connected tools (optional): you can choose to connect an AI assistant (such as Claude or ChatGPT) to your CollegeOS account through our connected-tools interface. If you do, that assistant can read the college-list data your account can see — using your own sign-in, read-only, and only after you approve the connection on our consent screen. We never initiate this sharing: it happens only when you connect a tool, and you can revoke access at any time from your account settings or the assistant's own settings. The assistant's handling of data you share with it is governed by its provider's privacy policy.

5. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect your information, including encryption in transit, access controls, and row-level isolation of user data. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Data Retention

We keep personal information only as long as needed for the purpose it was collected. Our retention schedule:

  • Account and workspace data (profiles, colleges, essays, activities, checklists): for the life of your account. Deleting your account removes it from active systems immediately.
  • In-app usage events: deleted automatically after 24 months.
  • Operational monitoring records: deleted automatically after 12 months.
  • Cached college research: expires and is refreshed on its own schedule.
  • Backups: deleted data persists in encrypted backups until they rotate out on our host's schedule (typically days to weeks), after which it is gone everywhere.

You may delete your account at any time from Settings; deletion covers your family's workspaces per the rules described there, except where retention is required by law.

7. Your Rights

Subject to applicable law, you may:

  • Access the personal information associated with your account.
  • Correct inaccurate information through your profile and settings.
  • Export your data from the Settings area.
  • Delete your account, which removes your associated personal data from active systems.

8. Parent and Student Accounts

CollegeOS supports both student and parent accounts. Parents may be invited to view or collaborate on a linked student's workspace. Parent access is limited to the data the student or family has chosen to share through the Service.

9. Children's Privacy

CollegeOS is intended for high school students (13 and older) and their families. The Service is not directed to children under 13, and we take active steps to keep under-13 users out: account creation requires confirming a birth year (which we do not store), and student workspaces cannot be created or claimed for students whose graduation year indicates they are under 13.

If you believe a child under 13 has provided personal information despite these measures, contact us and we will delete it. Parents and guardians may review or request deletion of a minor's information at any time — in most cases directly, since parents share full access to the family workspace by design.

10. Changes to this Policy

We may update this Privacy Policy from time to time. We will notify you of material changes in the Service or by email and update the "Last updated" date above.
